New One build. One login. One system.

Most Websites Just Describe Your Business. Yours Could Run It.

A website on the front, your business system behind it — customer logins, live data and admin in one place, not three.

Stop running your business from spreadsheets. iHubSA turns Excel files, paperwork and manual processes into integrated websites, online applications, databases, dashboards and SaaS platforms — built around the way your business actually works.

The Problem

Is Your Business Still Running on Manual Processes?

Excel, WhatsApp, paper forms and shared folders work well enough when a business is small. As the organisation grows, they become slow, risky and difficult to control.

Excel Everywhere

Important business information is spread across multiple spreadsheets with no single source of truth.

Manual Administration

Employees spend hours capturing, checking and transferring the same information between systems.

No Real-Time Visibility

Management cannot easily see what is happening across the business without asking someone to prepare it.

Human Error

Duplicate data entry and manual calculations create unnecessary risk and inconsistent numbers.

Disconnected Systems

Critical information is trapped inside emails, spreadsheets, chat threads and documents.

Slow Reporting

Management reports require hours of manual preparation instead of being available on demand.

The Transformation

From Spreadsheet to Smart Business System

The same information, restructured into something your whole organisation can rely on.

Before

How it works today

After

How it could work

  • Multiple Excel workbooks Centralised, structured database
  • Paper forms and printouts One online application for the whole team
  • WhatsApp threads and email attachments Automated workflows and approvals
  • Manual calculations Calculations handled by the system
  • Conflicting file versions A single source of truth
  • Repetitive data entry Validated data, captured once
  • Reports built by hand each month Live dashboards and automated reporting
  • No record of who changed what User permissions and full audit trail

Same information — restructured.

What We Build

What Can We Build For Your Business?

From digitising a single form to developing a complete software product.

Excel → Online Applications

Turn complex spreadsheets into secure, multi-user web applications with proper validation, permissions and an audit trail — built around the logic your workbook already contains.

Dashboards & Business Intelligence

Turn raw business data into live dashboards and management information you can act on.

Business Management Systems

Manage projects, customers, employees, contractors, stock, documents and workflows in one place.

Customer & Contractor Portals

Give customers, suppliers or contractors secure access to exactly what they need — and let them keep their own records current instead of emailing you documents.

Custom SaaS Platforms

Build subscription-based software products for your organisation or for a wider market.

Online Forms & Data Capture

Replace paper forms and manual capture with intelligent digital forms that validate as you type.

Workflow Automation

Automate approvals, notifications, calculations and handovers so administration stops eating the day.

Database Solutions

Centralise business information in a structured, secure database designed to grow with you — one source of truth, properly related, with nothing trapped in a file on someone's desktop.

Integrated Websites

Your Website Could Be Doing More Than Describing You

Most business websites are a brochure. They tell people what you do, collect the occasional enquiry by email, and stop there. The work still happens somewhere else — in a spreadsheet, an inbox, or someone’s head.

If you are rebuilding your website anyway, it costs far less to build the system into it than to bolt one on two years later. One website, one login, one database — the public face and the business behind it as a single thing.

What the public seesYour marketing website — pages, services, credibility.
What your customers seeThey sign in to their own orders, projects, documents or statements.
What you seeThe back office — records, activity, reports, the business running.
One database underneathEvery layer above reads and writes the same information. Nothing is re-typed, nothing drifts out of sync.
01

A website that earns its place

Properly designed, fast, and written to be found — the site you would have built anyway. It is the front door, not the whole house.

02

A login area for your customers

Clients sign in to see what is theirs: jobs in progress, documents, history, invoices. The questions that fill your inbox get answered before they are asked.

03

An admin side for you

The system you would otherwise have built separately — capture, manage, search and report on your operational data, from any device.

04

Content you change yourself

Update your own text, images and pricing without waiting on a developer. You are not locked into paying us for a typo.

Why not just add it later? You can — and sometimes that is the right call. But a website and a system built separately end up with two logins, two designs and two places your information lives, and joining them afterwards usually costs more than building them together did. If you are starting the website from scratch, this is the cheapest moment it will ever be.

    About iHubSA

We build business software the way it should be built.

"You don't need to change your business to fit your software. We build the software around your business."

iHubSA is a South African software company focused on business digitalisation. We work with organisations that have outgrown their spreadsheets and manual processes, and we turn those processes into applications, databases and dashboards that people actually use.

We are not a template shop. Every system we build starts with understanding how a business really operates — then we design around it.

    Our Work

    Real Problems. Digital Solutions.

Illustrative examples of the kinds of problems this approach solves. Client names and figures are omitted.

    Example Project

    Replacing Complex Excel Workbooks

    Problem

A business was managing several operational processes across linked Excel workbooks. Data was duplicated, versions conflicted, and only one person fully understood the file.

    Solution

A centralised web application with a structured database, database-driven workflows, dashboards and built-in reporting.

    Result

One central source of information with real-time visibility, and reporting available on demand rather than prepared by hand.

    Example Project

    Digitising Manual Data Capture

    Problem

Information was collected on paper forms in the field, then re-typed into spreadsheets back at the office — slowly, and with transcription errors.

    Solution

Mobile-friendly online forms that validate on entry and write straight into the database, with photo and document attachments.

    Result

Data captured once, at source. Information available immediately instead of after the next office day.

    Example Project

    Creating a Contractor Portal

    Problem

Contractor documents and compliance dates were tracked in a spreadsheet and an email folder. Nobody could say at a glance who was compliant.

    Solution

A portal where contractors maintain their own profiles and upload documents, with automatic expiry tracking and approval workflows.

    Result

Compliance status visible on one screen, with contractors keeping their own records current.

    SaaS Development

What Is SaaS — And What Could It Do For You?

Software as a Service is simply software you log into rather than software you install. That one change has knock-on effects worth understanding — whether you want to use it, or build one of your own.

    What it actually means

Instead of buying software and installing it on a machine in your office, you open it in a web browser and pay a monthly or annual fee for as long as you use it. The company that built it takes care of the hosting, the security, the backups and the updates. You log in and work.

You are almost certainly using several already — Microsoft 365, Google Workspace, Xero and Sage all work this way.

    What it replaces

The older model: buy a licence up front, install it on a server in the office, buy and maintain that server, pay someone to keep it patched and backed up — then pay again in a few years when your version stops being supported.

If the office loses power or that one machine fails, so does the software — and often so does the only copy of the data.

Two ways this applies to your business

People use the word "SaaS" to mean two quite different things. Both are worth knowing before you decide what to build.

    Path 1 · Most common

Software for your own business, delivered as a service

This is what most of our work looks like. Your application lives online and your team simply logs in.

    • Nothing to install, and no server to buy or maintain
    • Works on a laptop at the office, a phone on site, a tablet in the field
    • Backups, security patches and updates handled for you
    • A predictable running cost instead of a large once-off outlay
    • Add or remove users as your team changes
    • New staff have access on their first day
    • One version of the system, so everyone really is looking at the same data
Path 2 · A product of your own

A SaaS product you own and sell to others

If the problem you have is a problem your whole industry has, the system you build to solve it can become something you sell.

    • Recurring subscription income rather than once-off project revenue
    • Build it once, sell it many times over
    • Often starts life as an internal tool that turned out to be worth more outside
    • Becomes a business asset in its own right, not just an operating expense
    • Direct insight into how customers actually use what you have built
    • You control the roadmap — it grows in the direction your market pulls it
